Book Printing: How to Create a Perfect Print-Ready File

The Architect’s Guide to Book Printing: How to Create a Perfect Print-Ready File

Whether you are designing a 12-month custom planner, a limited-edition art book, or a high-end corporate journal, the transition from a multi-page PDF to a physical, bound object is where "Print Math" becomes critical.

At StationeryHQ, we specialize in professional binding and high-order digital printing. To ensure your book arrives with perfect alignment and crisp typography, follow this guide to professional book file preparation.

1. The Anatomy of a Book File: Pages vs. Spreads

The most common mistake in book design is sending "Spreads" (two pages side-by-side) instead of "Single Pages."

  • The Rule: Export your PDF as Single Pages in chronological order.

  • The Reason: Our imposition software takes your single pages and mathematically arranges them to fit our press sheets. If you send spreads, the software cannot "split" them accurately, which leads to layout errors.

  • The Math: Your total page count must be a multiple of 2 for Wire-O binding and ideally a multiple of 4 for Perfect Bound books to avoid blank pages at the end.

2. Managing the "Gutter" and Binding Margin

Unlike a flat greeting card, a book has a "spine" or a "binding edge" that "eats" a portion of your design. This area is called the Gutter.

  • Wire-O Binding: The metal coil requires holes punched roughly 0.25" into the page. You need a Safety Margin of 0.625" on the binding edge to ensure your text doesn't get a hole poked through it.

  • Perfect Bound (Glue): Because the book doesn't lay perfectly flat, text that is too close to the spine can get "lost" in the fold. We recommend a 0.75" inside margin for a comfortable reading experience.

3. The Cover vs. The Interior

A common "Pro" move is to treat your cover and your interior as two separate files.

  • The Interior: Use a consistent paper weight, like our 100# Text or 70# Uncoated for easy writing.

  • The Cover: This is where you make an impression. We recommend our signature 130# (350 GSM) Uncoated Matte Cover.

  • The Math: If you are doing a Perfect Bound book, you must calculate the "Spine Width" based on your page count. (Our team can provide a spine-width calculator based on your specific paper choice).

4. Image Resolution and "Ink Limits"

Books are meant to be pored over, which means low-resolution images have nowhere to hide.

  • 300 DPI: Ensure every photo and illustration is high-resolution. 72 DPI images from the web will look pixelated and "cheap" once printed on our Indigo presses.

  • CMYK Color Space: Convert your images to CMYK before exporting. This prevents "neon" colors from shifting to dull tones during the printing process.

  • Rich Black: For large black areas on your cover, use our formula (C60 M40 Y40 K100) to ensure a deep, gallery-grade finish on the 130# stock.

5. Exporting the "Master" PDF

When your layout is finished in InDesign or Affinity Publisher, the export settings are your final hurdle.

  • Format: PDF/X-4:2010. This is the gold standard for digital book printing.

  • Bleeds: Ensure you check the "Use Document Bleed Settings" box. We require a 0.125" bleed on all sides of every page.

  • Fonts: Ensure all fonts are Embedded. If a font is missing, the press will substitute it with a generic one, ruining your typography.
