The Ultimate Print-Ready File Checklist for Designers
The Ultimate Print-Ready File Checklist for Graphic Designers
Whether you’re designing a stunning wedding invitation, a sleek business card, or a high-end photo book, your project’s success depends on one thing: a perfect print-ready file. Even the most beautiful design can fall short in print if the file setup isn’t right.
That’s why we’ve created The Ultimate Print-Ready File Checklist for Graphic Designers — a guide to help you prepare flawless files for StationeryHQ.com and ensure your prints look exactly as you envision.
🧾 Why Print-Ready Files Matter
Submitting a file that’s not optimized for print can lead to issues like color shifts, pixelation, or text cutoff. When you’re printing professionally — especially for clients — there’s no room for surprises.
At StationeryHQ, our team prints for designers, brands, and entrepreneurs across the country. We know what works — and what doesn’t. Follow this checklist to make sure your files are 100% press-ready every time.
✅ The Print-Ready File Checklist
1. Choose the Right Format
Export your design as a PDF, not a JPG or PNG. PDF files preserve vector data, fonts, and color accuracy for the cleanest results.
2. Use CMYK Color Mode
Always work in CMYK, not RGB. RGB is for screens — CMYK is for printing. You can even embed your ICC color profile for the most predictable results.
3. Set Your Resolution to 300 DPI
A high-resolution file (300 dots per inch) ensures crisp images and professional-quality text. Anything lower can appear blurry in print.
4. Add Bleed and Safe Zones
Include at least 1/8” (0.125”) bleed on all sides, and keep text or important elements 1/8” inside the trim line to prevent accidental cutoffs.
5. Outline Fonts and Embed Images
Convert all fonts to outlines and embed linked images so nothing shifts or disappears when the file is opened on another system.
6. Use Spot Colors for Foil or Specialty Printing
If you’re adding foil, white ink, or other embellishments, create a spot color channel to define those areas clearly. (See our post on Creating a Five-Channel PDF for Foil Embellishment for more tips!)
7. Check Layers and Transparency
Flatten transparency effects and double-check overlapping layers. This prevents unexpected results during RIP processing on digital presses.
8. Proof Your File Before Uploading
Zoom in to 100% and proof everything — spelling, spacing, and margins. Once it’s on press, changes aren’t possible!
